Terms and Conditions

These Terms and Conditions apply to all bookings and participation in woodland sessions provided by Wild Tribe Highlands.  By booking a session you agree to the following terms:

1. About Us

Wild Tribe Highlands offers outdoor experiences for children and families with adult sessions available on occasion.  Activities include nature-based exploring, games, bushcraft, crafts, and free play in a woodland setting. All sessions are led by Iona Laing an experienced and qualified outdoor activity leader.

2. Participant Requirements

  • A completed Medical & Emergency Contact Form through the booking platform Bookwhen is required before participation.

  • You must ensure that your children are appropriately dressed for outdoor, all-weather activities.

3. Supervision and Responsibility

  • Children remain under the care of Wild Tribe Highlands staff throughout the session.

  • Parents/guardians must drop off and collect children promptly.

  • If a child’s behaviour is unsafe or consistently disruptive, we may contact the parent/guardian to collect them early. Persistent issues may result in removal from future sessions without refund.

4. Health, Safety, and Risk

  • Outdoor activities carry inherent risks including, but not limited to, slips, trips, stings, and minor cuts. -While all reasonable precautions are taken, by booking a place you accept that accidents or injuries may occur.

    • We have a thorough risk assessment in place with appropriate control measures.

  • A qualified first aider is always present, and emergency procedures are in place

5. Medical Conditions

  • You must disclose, and if you are a parent or guardian, you must ensure that you disclose on behalf of your child, all relevant health, allergy, and behavioural conditions in the booking form at the time of booking.  Failure to do so may put your child and others at risk.

6. Bookings & Payments

  • Bookings must be made online through Bookwhen.

  • Full payment is required at the time of booking to secure a place.

  • Spaces are limited and allocated on a first-come, first-served basis.

7. Cancellation & Refund Policy

Cancellations by You:

We‌ ‌ don’t‌ ‌ offer‌ ‌ refunds‌ ‌ or‌ ‌ discount‌ ‌ codes‌ ‌ if‌ ‌ courses‌ ‌ and‌ ‌ sessions‌ ‌ are‌ ‌ booked‌ ‌ and‌ ‌ you‌‌ don’t‌ ‌ attend.‌‌‌

·       Cancellations made more than 7 days before the session: Transfer to another booking (if available) or Full refund. Admin fee of £5

·       Cancellations made 2–7 days before the session: Transfer to another booking (if available) or 50% refund. Admin fee of £5

·       Cancellations made with less than 48 hours’ notice or no-show: No refund.

Cancellations by Us:

  • We reserve the right to cancel or reschedule sessions due to unsafe weather, low bookings, illness, or unforeseen circumstances. You will be offered a full refund or the option to reschedule.

8. Weather Conditions

  • Sessions run in most weather conditions (including rain and snow).

  • We will only cancel for severe weather (e.g., high winds, lightning -weather warnings) that presents a safety risk.

9. Photography & Media

  • Subject to you completing a Photo Consent Form and giving consent, we may take photos of you / your child(ren) during the sessions for promotional use (e.g., website, social media).

  • A separate Photo Consent Form will be provided through Bookwhen. Participation is not conditional on giving consent. Consent can be revoked by the parent/guardian at any time.

10. Insurance and Liability

  • We hold appropriate public liability insurance with a reputable insurance company for outdoor education activities.

  • We accept no liability for: (a) personal property lost or damaged during a session (b) any indirect or consequential losses arising out of or in connection with the provision of, or failure to provide, a session; and (c) our total liability to you in respect of all losses arising out of or in connection with the provision of, or failure to provide, a session shall not exceed the price paid by you for the session.

11. Data Protection

  • Personal data is collected solely for the purpose of safety, communication, and record-keeping.

  • Data is stored securely and not shared with third parties without consent, except where required by law.
